Representativeness updating process: Details
1. The keep.eu data manager reviews all Interreg programme websites to collect the number of contracted projects and partnerships (or, if no further information is available, the number of approved projects).
Notes:
- The number of contracted or approved projects and partners is recorded. If the number of partners is missing, it is estimated from the project-to-partner ratio in keep.eu or from the previous programme period. If no data is available on the programme website, the field Information regarding the data in keep.eu remains empty. The data manager enters the collected figures into each programme page in keep.eu. These figures appear in the Information on this programme’s project and partner data in keep.eu table, located at the bottom of each programme page. The table also shows the figures for projects and partnerships retrieved directly from the database. Example: See the 2021–2027 Interreg VI-A Austria–Czechia page in keep.eu and scroll down to the metadata table.
2. Keep.eu’s system aggregates the figures from all programme pages, combines them with the automatically retrieved database figures, and displays them in the charts, tables, and Excel files on the Representativeness page.
Notes:
- For manually collected data, the data manager provides the following explanation: “Data was retrieved by Interact from the programme’s website on yyyy.mm.dd.”
- For partly manually collected data, the data manager also includes in the notes the number of projects: “Data of xx projects was retrieved by Interact from the programme’s website on yyyy.mm.dd. For partners, only information on main partners is available.”
- If no information on contracted or approved projects or partners is available on the programme website, the data manager provides the following explanation: “Source of estimation of the number of projects as of yyyy.mm.dd: Website of the programme. Method for estimating the number of partners as of yyyy.mm.dd: Average partners per project based on the average of the previous period.”
3. The keep.eu project and product manager updates the end date of the most recent programme website review, along with the overall planned end date of the next review. Both these dates are shown on the Representativeness page (top right-hand side).
Notes:
- The data manager informs the project and product manager once the counting in step 2. is finalised (through a note in the internal platform Redmine, under Forum content support, Data issues).
4. The data manager informs all Interreg programmes once each round of updates is completed. This information is typically emailed to keep.eu’s programme contact within five working days after the latest review. Programmes are asked to check their data and request corrections from Interact if needed.
Template of email:
Dear <names or titles of contacts>,
As part of our routine process, we review all Interreg programme websites every quarter to stay updated on their call information, as well as their number of projects and partners.
The information we collect on the number of projects and partners is added to the table at the bottom of each programme page in keep.eu. You can find your programme page by typing your programme’s name in English (or part of it), here. If you notice any details that need correction, please contact us and we will promptly make the necessary updates. To learn more about this process and about data representativeness in keep.eu, please see our FAQ entry “How representative is the data in keep.eu, and how is it estimated?, here.
The information we collect on your programme’s calls is published at the top of your programme’s page in keep.eu. You, your colleagues, or collaborators can also update this information directly in keep.eu. Programme editors are professionals from the programme’s Managing Authority and/or Joint Secretariat who can edit their programme’s call information in keep.eu. To do so, they must be registered keep.eu users and designated as programme editors by the head of the Managing Authority or Joint Secretariat. To learn more about this process and how calls for projects are featured in keep.eu, please see our FAQ entry “Calls for projects in keep.eu”, here. And, to become the editor of your programme call data, simply ask your head of JS or MA to send us an email to keep.support@interact.eu designating you (with your email address) as its editor.
Best regards,
The keep.eu team at Interact
